Exhibiting at a Study Fair: What to Expect on the Day

We’re about to kick off our winter events season of 2024! If you haven’t already, secure your place at this year’s study fairs, with upcoming Postgrad LIVE events in Liverpool, Manchester, Birmingham, London and Edinburgh.

If it’s your first time at one of our physical fairs – or if you’re a veteran exhibitor in need of a refresher – you may be wondering what to expect. Your exhibitor pack, which we’ll send over once you’ve booked, will contain all the details, but we’ve also put together this quick overview for you.

Before you arrive

As soon as you’ve booked your space, we’ll be in touch with your exhibitor pack, which will contain all the essential on-the-day information you’ll need to make the day go smoothly. Importantly, this will contain instructions on setting up FAUScan, our lead-capturing app. To avoid last minute complications, make sure you have the app downloaded and ready to go before you arrive.

Feel free to bring tablecloths, pull-up banners and prospectuses to decorate your stand, as well as all the promotional items you can carry (hint: branded yo-yos proved surprisingly popular at one of our recent fairs). If you’ve got more tote bags than can be reasonably transported by train – you can organise a courier service to have everything you need delivered ahead of time (although don’t forget to organise pick-up at the end of the event too and let the Events Team know which courier you’re using so we can look out for them!).

On arrival

The venue will open to exhibitors to set up their stands from 9:30am. When you arrive, a member of our Events Team will show you to your stand, which will come complete with two chairs (or three if you’ve paid for an extra representative), lanyards, bottled water and some sweet treats to keep you going.

During the fair

The fair will officially open to students at 12pm. This is your opportunity to discuss everything postgraduate, from courses and projects to funding opportunities and student life.

If you’re worried about getting everyone’s details and sharing your opportunities once the event is finished, then don’t worry – our FAUScan app makes data collection simple. You simply scan a student’s badge and save their GDPR-compliant contacts for post-event follow up. Just add this to your booking so you don’t miss out on potential leads!

We’ll also provide tea and coffee for you to help yourself to throughout the day, and lunch with vegetarian, vegan, halal and gluten-free options (make sure you’ve informed our Events Team of your dietary preferences before the fair – you’ll receive further instructions on this after booking).

After the fair

We’ll close our doors to students at 3pm. Once you’re ready to head off, just make sure you take any left-over prospectuses or other merchandise with you (unless you’ve arranged to have them collected), and we’ll take care of packing the tables and chairs away!
